Your primary focus should be on answering the following broad questions:

  • Why is your business the perfect fit for the job?

  • Are you equipped with the right knowledge and skills to write a winning tender proposal?

If you want to write a tender proposal, then the following steps will give you a framework on what you need to do:

  • Read all the tender documents (and the addenda as they are released)

  • Analyse and make sure you understand them completely—if you have any questions you can submit them to the client

  • Draft responses to all the tender requirements and submit a winning bid


How to Procure the Tender?

The overall approach gives you an overview of the process how you can go about it, but do you know how to ensure that you qualify.

1. Forget the sell

If you treat the proposal as a hard sell of your products or services, then your bid most likely will get rejected. The evaluation committee needs to assess your product against their criteria so if you don’t provide information about the benefits of your products and supporting business they will not short-list your proposal. Your company needs to focus on assuring the committee that it understands the tenderer’s objectives, risks, benefits, challenges and opportunities, and address them in the proposal.

2. Play to strengths

You need to know how to showcase your strengths by focusing on the major benefits and your competitive advantages. The evaluation committee may consider your past work to make their decision so showcase information about your previous experience.. It is advisable to bid for tender contracts in your sector and within your capacity and capability.

3. Be precise

You need to answer all the required tender questions without exception. Keep in mind that your answers need to be precise in answering the questions, straightforward and convincing to assure the evaluation committee that you are the right organisation for the job..

4. Learn and improve

Do not be disheartened if your previous proposals have been rejected because it is a highly competitive way of winning work and failures are inevitable. Learn from your previous attempts and improve your proposal writing.

5. Consult experts
